1. About this policy
Crews Now Inc. operates crewsnow.com. This policy describes information processed for our website, crew directory, accounts, bookings, memberships, advertising, email inquiries and invitations, including information received from original Crews Now records or supplied by a referral source. Contact support@crewsnow.com with privacy questions.
Published October 1, 2026. This policy describes current practices and identified optional features. Advertising features not yet enabled do not become active simply because they are described here. We will give notice of material changes and obtain consent where required. This update does not retroactively authorize new uses of previously collected data.
2. Information and sources
We receive account names, email addresses, authentication information, profile details, skills, location and service areas, availability, business contacts, portfolio links and captions from users. Clients provide project descriptions, budgets, dates, contact email and phone, bids and booking messages. We keep transaction references, membership status, completion records and support communications.
Historical crew profiles come from the original Crews Now database. Prospective client and crew details may be supplied in forwarded emails, inquiries or referrals. An imported record may be incomplete or outdated. You can ask about its source and request correction or removal. An invitation does not mean you created an account or approved a public project.
Our systems and providers process technical data such as IP addresses, browser/device information, request times, security logs, session identifiers, page activity and notification events. Ad interaction measurement may use a hashed network identifier and time window to reduce duplicate counts. Hashing does not necessarily make information anonymous.
We do not request racial, political or similar sensitive demographic information for ordinary registration. Avoid including unnecessary sensitive information about yourself or others in messages, profiles or project descriptions.
3. Accounts, sign-in and reclaiming profiles
Email/password sign-in uses protected password verification data rather than a publicly readable password. Google or other offered identity providers supply information needed to authenticate you, such as an account identifier, name and email. Existing legacy sign-in may remain available for prior members; each provider has its own privacy policy.
Passkeys use credential identifiers, public keys and authentication metadata. Crews Now does not receive your device’s fingerprint or face scan, or the private passkey itself. We process verification codes, expiry information and security records for recovery. Historical email matching may use stored email fingerprints.
A claim requires the ownership checks presented in the claim flow. Creating an account with a different email does not prove ownership of an existing profile. We record the version and time of accepted Terms and acknowledged Privacy Policy, along with the selected member role.
4. Public profiles, maps and messages
Public directory information may include your name, role, skills, industry, profile image, approximate location, service area, availability and eligible portfolio content. Historical unclaimed profiles are labeled accordingly. Search engines and other visitors may access public information.
Map pins represent approximate listed locations or service areas, not live tracking or a promise of exact distance. Do not enter a home address in a public biography or other public field. City/region searches and location details may be processed to find nearby crew; any browser request for device location requires its permission.
Tier 3 business contact fields are public when enabled. Your sign-in email is not automatically a public business email, but becomes public if you deliberately enter it in that field. Some contact information is shared with the other booking party as part of a paid booking. Review your profile before publishing.
Booking messages and private project drafts are intended for their participants and authorized personnel, not the public directory. Profile-view and response events may generate notifications; they are not a guarantee that every visitor is identified. Staff and service providers may access records as needed for support, security, payments and service operation.
5. Why we use information
We use information to create and secure accounts, match crew and projects, display authorized profiles, process claims, facilitate bids and bookings, confirm work, administer payments and subscriptions, deliver notifications and invitations, respond to requests, prevent abuse, resolve disputes, maintain records and improve the service.
Email automation can route incoming messages, identify unsubscribe requests and prepare or support invitation workflows. Incoming content may also be reviewed by staff. A private project draft is not a public client-approved listing until approved through the applicable flow. We do not promise that every emailed request is handled automatically.
Where laws require a legal basis, processing is based as applicable on providing requested services, consent, legal obligations, and legitimate interests such as security and service administration, balanced against individual rights. Marketing and optional tracking require additional choices where applicable.
6. Providers and sharing
We disclose information to the other users involved in the requested transaction, to authorized personnel, and to providers that support the service. These include hosting and infrastructure providers such as OpenAI Sites and Cloudflare; Stripe for payment, subscription and payout services; Resend and IONOS for email delivery, receiving and routing; offered sign-in providers; and mapping or embedded-media services.
Stripe collects payment and payout details needed for its services, including verification information when required. Crews Now receives relevant identifiers, statuses, amounts and limited account information for service administration; we do not publish bank or full card details. Stripe’s own privacy policy describes its processing: https://stripe.com/privacy.
Operational messages may be copied or forwarded to authorized staff mailboxes, including an administrator’s external business mailbox, for handling leads, invitations and support. These copies contain the message and any included contact or project information. They are not a public listing. Access must be limited to service-related purposes.
We may disclose necessary records to comply with law, protect rights or safety, investigate abuse, or in a business transfer with appropriate protections. We do not give advertisers private messages or recovery codes for targeting. Provider examples and their roles may change; this is not permission for unrestricted sharing.
7. Cookies, advertising and embedded content
Essential cookies or similar storage support sessions, authentication, security and preferences. Blocking them may prevent sign-in or other requested features. Direct sponsored placements may measure impressions and clicks without enabling Google advertising cookies.
Google AdSense has been submitted for approval. If Google ads are enabled, third-party vendors including Google may use advertising cookies to serve ads based on prior visits to this or other websites. Google and its partners may use these cookies for personalized advertising, subject to available choices and applicable consent requirements. Other participating vendors’ choices may be available at https://optout.aboutads.info/.
Where required, optional advertising storage and personalized advertising must wait for consent. Google’s consent-management message is configured to offer Consent, Do not consent and Manage options for supported regions when its advertising integration is active. A consent configuration alone does not mean ad scripts are running. You may also use browser cookie controls and contact support about privacy choices.
Embedded YouTube, Vimeo, Instagram or externally hosted images/video can connect your browser to their providers, exposing technical information such as IP address and setting cookies under their policies. Crews Now generally stores the media URL and caption rather than the media file. Provider branding, source links and tracking behavior are controlled in part by that provider.
Older Do Not Track settings and Global Privacy Control are different mechanisms. Where applicable law requires recognition of an opt-out preference signal such as GPC, it must be honored for covered processing. We do not represent that every browser signal or third-party embed is currently integrated with a universal preference control; contact support to exercise rights, and optional advertising must be configured consistently with applicable requirements before activation.
8. Email and notification choices
You can use available notification settings to choose optional activity alerts. Invitation emails include an unsubscribe link; you may also reply asking to stop or email support@crewsnow.com. We keep suppression information to avoid sending further covered invitations. Requests are applied promptly and within applicable legal deadlines.
Opting out of marketing does not ordinarily stop verification codes, security notices, booking/payment messages or other essential communications about services you requested. Marketing consent is not required merely to accept the Terms. Email delivery providers may process delivery, bounce and complaint events; any engagement tracking depends on the enabled configuration.
9. Retention, deletion and security
We retain records while needed to provide an active account, perform bookings, administer subscriptions, resolve disputes, meet tax and accounting obligations, prevent fraud and document consent. The period depends on the record, transaction and legal obligation; it is not a promise of indefinite retention for every purpose.
After a verified closure or deletion request, we remove or de-identify information that is no longer needed, subject to legal, security, payment, dispute and backup requirements. Suppression records may remain to respect opt-outs. Information already shared with a booking party or an external media provider may remain under that party’s control. Turning off a paid feature may hide content without deleting it.
We use measures designed to protect information, including access controls and authentication safeguards. No system is risk-free. Report suspected unauthorized access promptly. We do not ask you to post passwords, recovery codes, bank details or identity documents in public profiles.
10. Your privacy requests and applicable rights
You can edit supported profile fields in your account and contact support@crewsnow.com to request access, correction, deletion, account closure, a copy of information or review of an imported profile. You do not need to accept new Terms or create an account merely to submit a privacy request. We may verify your identity using information proportionate to the request; we do not require your password or passkey.
Depending on your location and the laws applicable to Crews Now, you may have rights to know/access, correct, delete or transfer information, object to or restrict processing, withdraw consent, and opt out of covered sale, sharing or targeted advertising. Additional rights concerning sensitive information or appeals may apply. We will respond within applicable deadlines, explain any lawful exceptions and provide an applicable appeal route. Authorized agents may submit requests with appropriate proof of authority. We will not unlawfully discriminate for exercising rights.
Whether California CCPA/CPRA business obligations apply depends on statutory coverage criteria. This policy does not claim that all such thresholds are met. If covered advertising amounts to sale or sharing under applicable law, required opt-out mechanisms and preference-signal handling must accompany that processing. We do not describe all advertising-related sharing as exempt merely because no money is exchanged.
11. Children, international processing and contact
The service is for adults aged 18 or older. We do not knowingly solicit accounts from children. If you believe a child supplied personal information, contact support so we can investigate and remove it where required.
Crews Now is based in California, United States. Providers may process information in the United States and other countries. Protections may differ; where required, we use appropriate contractual or other lawful transfer safeguards. Merely using the website does not waive rights or replace safeguards required by law.

We will post material updates here and provide additional notice or consent when required. The original November 2018 policy remains in the archive.
